Who is responsible

The studio owner is responsible for how we handle personal information. You can reach them at info@pearlmedspas.ca or 613-618-4813.

What we collect

When you request a consultation on this website: your name, email address, phone number (optional), the treatment you are interested in and any note you add. The request is delivered to our email through Web3Forms, a form delivery service, which may keep a copy in our account so it is not lost. Please do not include medical details in the note.

When you call, email or message us: the details you choose to share so we can answer you.

When you become a client: your contact details, the answers on your intake and consultation forms (which can include health information relevant to your treatment, such as allergies, medications and skin conditions), your treatment notes and your payment records. 3D skin analysis images and before and after photos are taken only with your consent and are used only for your care, unless you separately agree in writing that we may share them.

What this website does not collect

This website sets no cookies and uses no analytics, tracking pixels or advertising tools. Its fonts, images and code are served from our own site. If you follow a link to Instagram, Facebook or Google, those companies' own privacy policies apply there.

Why we use it

• To answer your questions and book, confirm or change appointments.
• To check that a treatment is safe and suitable for you, and to plan and record your care.
• To take payment and keep the records the law requires.
• To send you offers or news, only if you have said yes. Every such email has an unsubscribe link, and you can opt out at any time.

We do not use your information for anything else without asking you first.

Who we share it with

We do not sell, rent or trade personal information. We share it only with service providers that help us run the studio (for example, Google for our email, Netlify to host our website, Web3Forms to deliver booking requests, and our payment provider), who may use it only to provide that service to us, or when the law requires it. Some of these providers may store information outside Canada, where it may be subject to the laws of that country.

How long we keep it

Consultation requests that do not lead to an appointment are deleted within 12 months. Client records are kept for as long as you are a client and for a period afterwards as required for legal, insurance and tax purposes, then securely destroyed.

How we protect it

Paper records are kept locked in the studio. Electronic records are kept in password-protected accounts that only our staff can use. Only the people who need your information to care for you can see it.

Your choices and rights

You can ask to see the personal information we hold about you, to correct it, or to withdraw your consent to its use (which may limit the services we can offer). Email info@pearlmedspas.ca and we will reply within 30 days.

If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada. Quebec residents can also contact the Commission d'accès à l'information du Québec.

Changes to this policy

If we change this policy, we will update it on this page and change the date at the top.
